Salesforce to S3 File Migration & Cleanup
Automates archiving old Salesforce ContentDocuments to Amazon S3, logs references, deletes originals to reclaim storage, and notifies via Slack on a schedule.
This n8n workflow automates the migration of aged Salesforce files (ContentDocuments older than 365 days) to Amazon S3 for cost-effective long-term storage. It queries Salesforce for eligible files, downloads binaries via REST API, uploads them to S3 preserving original filenames, looks up associated ContentDocumentLinks, filters out user-linked files, creates traceable S3_File__c custom records, deletes the originals to free up org storage, and sends completion notifications via Slack.
The process is triggered on a schedule (e.g., daily), handles batches efficiently with looping and filtering logic, and requires Salesforce OAuth2, AWS S3, and Slack credentials plus a custom unmanaged package for the S3_File__c object and settings. Modular design allows extensions like approvals or UI uploaders.
Benefits include slashing Salesforce storage costs by offloading GBs to cheaper S3, maintaining full traceability and references in Salesforce, plug-and-play setup after importing JSON and installing the package, and set-it-forget-it operation with alerts. Ideal for orgs hitting storage limits, compliance-driven archiving, or scaling document-heavy apps like surveys/forms.
Use cases: Routine cleanup for CRM-heavy businesses, prepping for Salesforce data exports, hybrid storage strategies, or integrating with form builders/survey tools generating large file volumes. Setup takes 45-90 mins; test in sandbox first.
